Privacy Policy

PlantMerge is a professional platform for landscape designers and plant nurseries. This Privacy Policy explains what information PlantMerge collects, why it is used, when it may be disclosed, and the choices available to you. PlantMerge is based in Georgia, United States.

1. Scope

This policy applies to the PlantMerge website, accounts, designer and nursery portals, project-saving tools, photo features, PDF exports, site-reference tools, and related communications. It does not govern third-party websites or services that have their own privacy policies.

2. Information PlantMerge collects

Depending on how you use PlantMerge, information may include:

  • Account and profile information: name, email address, account type, business or nursery name, business address, city, state, ZIP code, and account credentials maintained through the authentication service.
  • Nursery information: contact information, website, service location, plant availability, plant submissions, and nursery profile details.
  • Designer project information: project names, client names and addresses entered by the designer, selected USDA zones, plant selections, photo selections, layout preferences, and saved export settings.
  • Photos and other content: uploaded photographs, logos, filenames, image metadata, captions, attribution information, permission and rights confirmations, and content submitted for review.
  • Project site and reference information: the Project Site Address saved with a designer project and submitted for a site-conditions lookup. The address or derived location may be sent to public mapping, climate, hardiness-zone, and elevation services to produce the requested report.
  • Technical and usage information: IP address, browser and device information, login and security events, error records, pages requested, and similar operational data generated when you use the service.
  • Communications: information included when you contact PlantMerge for support, privacy requests, or other business communications.

3. How information is used

PlantMerge uses information to:

  • Create, authenticate, secure, and maintain accounts.
  • Provide designer projects, plant selection, nursery profiles, photography, site-reference reports, and PDF exports.
  • Display nursery credit and other attribution chosen for inclusion with plant photography.
  • Review submissions, respond to requests, and provide customer support.
  • Maintain service reliability, prevent fraud and misuse, troubleshoot errors, and protect users and the platform.
  • Comply with legal obligations and enforce applicable agreements and content rights.
  • Improve PlantMerge features using operational feedback and aggregated or de-identified information.

4. No sale of personal information or third-party marketing

PlantMerge does not sell personal information.

PlantMerge does not share personal information for cross-context behavioral advertising, does not rent user lists, and does not use third-party advertising networks, advertising cookies, or marketing trackers. PlantMerge does not send third-party promotional marketing on behalf of outside companies.

5. Limited disclosures needed to operate PlantMerge

PlantMerge may disclose limited information only as reasonably necessary in the following circumstances:

  • Service providers: vendors that provide hosting, database, authentication, file storage, email, security, error monitoring, mapping, climate and elevation data, photo-source searches, and optional AI-powered features. They receive only the information needed to perform services for PlantMerge and are not authorized by PlantMerge to use it for their own advertising.
  • User-directed and public content: information you choose to publish or include in an export, such as a nursery name, website, location, photography credit, attribution, or approved submission.
  • Legal and safety reasons: when reasonably necessary to comply with law or valid legal process, protect rights and safety, investigate fraud or security incidents, or enforce platform rules.
  • Business changes: in connection with a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate confidentiality protections and applicable law.

6. Cookies and similar technologies

PlantMerge and its operational service providers may use cookies, local storage, and similar technologies that are necessary for login sessions, security, saved preferences, and core platform operation. PlantMerge does not use third-party advertising cookies or marketing pixels. You may block cookies in your browser, but essential account and project features may stop working.

7. Client information and content supplied by users

Designers and nurseries may submit information concerning clients, contacts, photographers, or other people. If you provide another person's information or content, you are responsible for having the authority and permissions needed to do so. Do not submit sensitive personal information that PlantMerge does not request.

8. Data retention

PlantMerge retains account and project information while an account is active and as needed to provide requested features. Information may be retained longer when reasonably necessary for security, fraud prevention, dispute resolution, legal compliance, backup recovery, or enforcement of agreements. When information is no longer reasonably needed, PlantMerge will delete it or de-identify it, subject to technical and legal limitations.

9. Security

PlantMerge uses reasonable administrative, technical, and organizational measures intended to protect personal information. These measures include account access controls and service-provider security features. No internet service or storage system can guarantee absolute security, so users should protect their passwords, use a unique password, and promptly report suspected unauthorized access.

10. Your privacy choices and rights

You may update certain profile and project information through your account. You may also request access to, correction of, a copy of, or deletion of personal information associated with your account. Depending on your location, additional rights may apply, including the right to know what categories of information are collected and disclosed and the right not to be discriminated against for exercising a privacy right.

PlantMerge does not sell personal information or share it for targeted or cross-context behavioral advertising. To submit a privacy request, email admin@plantmerge.com. PlantMerge may need to verify your identity before completing a request. Some information may be retained where an exception or legal obligation applies.

11. Third-party sources and links

PlantMerge may display information, images, credits, or links supplied by public databases, nurseries, mapping and climate services, and other third-party sources. Their websites and services operate under their own privacy policies and terms. PlantMerge is not responsible for the privacy practices of third parties you visit or use directly.

12. Children’s privacy

PlantMerge is a professional service and is not directed to children under 13. PlantMerge does not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information, contact PlantMerge so the information can be reviewed and deleted where appropriate.

13. International users

PlantMerge is operated from the United States. If you use PlantMerge from another country, information may be processed and stored in the United States or other locations where service providers operate, subject to applicable safeguards and law.

14. Changes to this policy

PlantMerge may update this Privacy Policy as the platform, service providers, or legal requirements change. The effective date at the top will be updated when a revised policy is posted. If a change materially affects how personal information is used, PlantMerge will provide additional notice when reasonably appropriate.
